B2B CUSTOM PLUSH RFQ GUIDE

Custom Plush RFQ Template: Artwork, Size, Quantity, SKUs & Packaging

Use this copyable quote-request brief to organize the technical and commercial inputs a custom plush supplier needs to review your project.

Updated: July 16, 2026For: brands, licensing and sourcing teams

What should a custom plush RFQ include?

Include artwork, finished dimensions, total quantity and quantity per SKU, material and accessory direction, target market, packaging, delivery destination, Incoterm and requested date. Mark open fields as TBD or supplier recommendation requested; missing assumptions can change feasibility, MOQ, unit cost and schedule.

Essentials for the first review

A supplier can start with incomplete files when the commercial frame is clear.

  • Product type and artwork
  • Target dimensions and quantity
  • Target market and required date

What prevents avoidable re-quoting

  • Total and per-SKU quantities reconcile
  • Packaging assumption is stated
  • Unknown fields are marked TBD
  • Destination and trade term are separated
1

Attach artwork and reference files

Show the product direction, character views, expression details and any parts that affect construction.

custom plush RFQ artwork brief with character views and color references

Write it this way

  • Front, side and back views where available
  • Colors, expression and accessory positions are marked
  • Latest approved file is separated from older versions

Avoid this

  • One front image with no depth information
  • No indication of embroidery, print or separate parts
  • Multiple file versions without an approval status

Action: Attach the clearest available artwork and label the latest version

2

Separate total quantity from SKU allocation

State the total order and the quantity for each character, color, outfit or package variant.

five custom plush SKUs allocated across a 50000 unit RFQ

Write it this way

  • Every SKU has a working name or number
  • Quantity is listed for all five SKUs
  • SKU quantities add up to the stated total

Avoid this

  • Only the total order quantity is supplied
  • Different characters are grouped as one unspecified design
  • Allocation is left blank without a planning range

Action: Use a SKU table and reconcile its total before sending the RFQ

3

Define finished dimensions

Use the finished body height as the main reference and explain whether ears, tails or hardware are included.

finished height width and depth measurements for a custom plush quote

Write it this way

  • Height, width and depth are stated in cm
  • The measurement boundary is explained
  • Critical tolerance requests are identified

Avoid this

  • Approximately 20 cm with no measurement basis
  • Seated height and overall height are mixed
  • Chain or accessory length is not separated

Action: State H, W and D and clarify what each dimension includes

4

Give material, accessory and market direction

Share fabric feel, embroidery or print areas, hardware, target market and intended use so the supplier can review the right assumptions.

fabric embroidery thread and hardware options for a custom plush RFQ

Write it this way

  • Pile length or hand-feel direction is described
  • Embroidery, print and separate parts are identified
  • Target market and intended use are included

Avoid this

  • Material is written only as supplier choice
  • Hardware type or attachment point is missing
  • Compliance needs are assumed without a target market

Action: List priorities and mark unresolved choices as supplier recommendation requested

5

Specify packaging, labels and carton needs

Individual packing, backing cards, barcode labels, warnings and carton marks can change cost and handling.

individual packaging labels and cartons for a custom plush quotation

Write it this way

  • Individual packaging format is named
  • Label and barcode responsibility is clear
  • Carton marks, assortment or split packing are noted

Avoid this

  • All packaging is deferred without a sales format
  • Retail labels are discussed after pricing is locked
  • No protection requirement is given for transport

Action: Describe the sales format even when final packaging artwork is not ready

6

Separate delivery date, destination and trade term

Do not use a launch date as the only schedule input. State when and where the finished goods need to arrive.

Schedule

Separate campaign or launch date from the requested warehouse delivery date. Sampling, revisions, production, inspection and freight remain project-dependent.

Delivery scope

List country, warehouse or venue, split quantities and carton-mark requirements. If you request DDP, confirm its exact cost and responsibility scope in the quotation and contract.

Action: write the required arrival date and destination separately

FAQ

Custom plush RFQ questions

Can I request a custom plush quote with rough artwork?

Yes. Share the clearest front view or reference images, target size, quantity range and intended use. The supplier may need more views, construction notes or an approved specification before final pricing and production.

Should quantity be listed per design or only as a total?

List both. A 50,000-unit project with five SKUs should show the total and each SKU allocation, such as 10,000 units per SKU. Material purchasing, setup and pricing can depend on the design-level split.

What should I write when a material is not decided?

Write TBD and add the decision criterion, for example: short-pile fabric, soft hand feel, supplier recommendation requested. This is more useful than leaving the field blank.

Does packaging need to be final before the first quote?

Final artwork is not always required, but the planned format should be stated: individual bag, backing card, barcode label, blind packaging, carton marking or another method. Packaging assumptions can affect labor, carton size and schedule.

What delivery information belongs in an RFQ?

Include the destination country or warehouse, requested delivery date, split-delivery needs and preferred Incoterm if known. The scope of DDP or other trade terms should be confirmed in the project quotation and contract.

Will a complete RFQ guarantee a final price and lead time?

No. A complete RFQ reduces clarification, but final price, MOQ, sampling scope and schedule still depend on design complexity, materials, packaging, target-market requirements and delivery conditions.

READY TO REQUEST A QUOTE?

Send a structured brief, even when some fields are still TBD.

We can review the available information and identify the next specifications to confirm.
